Privacy Policy
Last updated: October 18, 2026. This policy explains what personal information Safe Hands WP collects, how we use it and the choices you have. We keep it short and plain.
1. Who we are
Safe Hands WP is a trade name of DigitalPro Holdings LLC, a Wyoming limited liability company. We are the party responsible for the personal information described in this policy ("we", "us"). Questions: privacy@safehandswp.com.
2. What we collect
Information you give us:
- Contact details when you request a free site check, contact us, subscribe or sign up: name, email, phone (optional), business name, website address and your message.
- Account and billing details: billing contact, address and plan. Card payments are handled by Stripe; we see only the card type, last four digits and expiry, never the full number.
- Access details you share so we can work on your site, such as WordPress or hosting logins. We store them in an encrypted password manager.
- Messages you send us by email, chat or the client portal.
Information collected automatically:
- Basic, cookieless analytics on our website through Cloudflare Web Analytics (pages visited, referrer, country, device type). It does not identify you and does not use cookies.
- Security and server logs (IP address, browser, time of request) kept to protect our site and your site from abuse.
Information we find on public sources: when you ask for a free site check, we look only at what is publicly visible on your website.
3. How we use it
- To provide and support the services you signed up for, including hosting, updates, backups, monitoring and reports.
- To answer your questions and send you the report you asked for.
- To bill you and keep accounting and tax records.
- To keep our services and your site secure, and to detect and prevent fraud and abuse.
- To send service emails such as maintenance notices and security alerts about your site.
- To send our newsletter or security alerts only if you subscribed. Every email has an unsubscribe link.
- To comply with the law and respond to valid legal requests.
4. Legal bases (EEA and UK visitors)
If data protection laws in the European Economic Area or the United Kingdom apply to you, we rely on: performing a contract with you (to provide the services), our legitimate interests (to secure and improve our services and answer inquiries), your consent (for newsletters, which you can withdraw at any time), and legal obligations (accounting and tax).
5. Service providers we use
We share personal information only with providers that help us run the business, under contracts that limit their use of it:
- Cloudflare: website delivery, security and cookieless analytics.
- Stripe: payments and invoicing.
- Resend: sending email from our website forms.
- Chat provider: [Chatwoot (self-hosted) or Crisp, to confirm], for the chat on our website.
- Email and documents: [email and workspace provider, to confirm].
- Hosting infrastructure: [cloud/server provider, to confirm], where client sites and backups are stored.
We may also share information with professional advisers (lawyers, accountants), with authorities when the law requires it, or with a buyer if our business is sold, in which case this policy continues to apply.
6. AI tools and your data
- We use AI-assisted tools to help review updates, logs and reports. A person on our team reviews and approves every change.
- We do not send your customers' personal data to AI tools. Where we use them on your site's code or logs, we remove personal data first.
- We only use AI services whose terms do not allow our data to be used to train their models.
7. Cookies
Our marketing website does not use advertising or tracking cookies. Cloudflare Web Analytics works without cookies. Some strictly necessary cookies may be set for security (for example, to block bots) or if you log in to the client portal. If we ever add non-essential cookies, we will update this policy and ask for consent where the law requires it.
8. How long we keep data
- Free site check requests and contact messages: up to 24 months after our last conversation, unless you become a client.
- Client account records: for as long as you are a client and up to 3 years after, unless the law requires longer.
- Billing and tax records: as long as tax laws require (generally up to 7 years).
- Site backups: as described in our Terms (30 days of daily backups; deleted 30 days after the service ends).
- Newsletter: until you unsubscribe.
9. Security
We protect information with access controls, encryption in transit, encrypted password storage, two-factor authentication on our accounts and the least access needed for each person. No system is perfectly secure; if a breach affects your personal information, we will notify you as the law requires.
10. Data we process for our clients
When we host or maintain your website, we may process personal information of your own customers and visitors (for example, orders or form submissions stored in your WordPress site). In that case you are the controller of that data and we act only as your service provider, following your instructions and these Terms. We do not use that data for our own purposes. A data processing agreement is available on request.
11. Your rights
Depending on where you live, you may have the right to access, correct, delete or receive a copy of your personal information, to object to or restrict some uses, and to withdraw consent. To use these rights, email privacy@safehandswp.com. We will reply within 30 days and may need to confirm your identity. You will not be treated differently for using your rights.
US state privacy rights (including California): we do not sell personal information and do not share it for cross-context behavioral advertising. We do not use sensitive personal information to infer characteristics about you.
If you are in the EEA or UK, you may also complain to your local data protection authority.
12. International transfers
We are a US company and our team works from outside the US, including Honduras. Your information may be stored in the United States and accessed by our team in other countries. Where the law requires it, we use appropriate safeguards for these transfers.
13. Children's privacy
Our services are for businesses and are not directed at children under 16. We do not knowingly collect their personal information. If you believe a child has sent us information, contact us and we will delete it.
14. Changes to this policy
We may update this policy. We will change the "Last updated" date and, for significant changes, notify clients by email before they apply.
